Requesting a New User

When your company newly requires someone to have access to ScotiaConnect, a Super User or Administrative User at your company may add him or her online.

There are three primary steps:
First, request a new user. Second, assign the new user to a group. Third, the new user must register. Instructions for each are below.

How to request a new user

Fill out the Request a User form. Navigate to Administration and then select User Information in the sub-menu. Click on the red “Request a User” button on the upper right of the page.

  1. Entering the new user’s first and last name are mandatory fields.
  2. Phone and email are also required fields.
  3. You must choose a secret word for this user to confirm their identity if ever calling customer service.
  4. We encourage you to also fill out the optional fields, including Group, Department, Job Title and Language Preference.
  5. Click the red “Continue” button, you will then need to choose a Security token type for your new user.
  6. Select either a Digital token or a Physical token and then click on the red “Submit” button to complete your request.

You will be presented a Confirmation message on the User Information screen, and you will see that this person is now in the master list.

A second approval of a new user may be required

If your company have opted for ‘Requesting a New User Requires Approval from a Different User’ on your company’s ScotiaConnect Service Request form, all new user requests will go into ‘Pending’ status and will not be submitted to Scotiabank until approved by an authorized user.

The second approver can easily sign in to ScotiaConnect to approve the new user from the master user list on the User Information page.

How to assign a new user to a group

About user groups

Once your new user request is added to the system the new user’s status will be ‘Active’ and now is the time to assign this person to a group.

Access to system options is granted to user groups and not to individual users. Every user must be assigned to a group, and a user can only be in one group at a time. Each group has its own level of access and entitlements, established separately. Note that if you need to add the new user to a new group, you must first create the new User Group.

Assign the new user

Navigate to Administration and then select User Information in the sub-menu.

  1. From the master list of users, find and click the new user’s name who you want to assign to a group.
  2. A modal window with editable user information will display.
  3. Verify the user information and make any additions or edits necessary.
  4. The form includes a drop down selection for Status
    • Choose ‘Active’ and the user will be able to access the system
    • Choose ‘Inactive’ and the user will not be able to access the system
    • If you want to remove someone from the system, select the ‘Closed’ option
  5. The form includes a drop down selection for Group; choose a group for this person.
  6. Click the red “Save” button

A second approval of a Group may be required

If the user has been added to a group that contains a ‘Sensitive’ service, all the sensitive services will be put into ‘Pending’ status. Pending services must be approved by a user that has access the User Information function before they can access any Sensitive service.

Likewise, if your company checked ‘Setting up and changing Entitlements requires approval from a different User’ on the ScotiaConnect Service Request form, all services will be treated as sensitive and will be put into pending status when added to a group.

A new user’s steps to register

Digital Token

  1. Download and launch the latest version of the Digital token app on your iPhone or Android Device from the app store
  2. Register for ScotiaConnect

The new user should have their digital mobile app before registering on ScotiaConnect. And, there are two additional pieces of information required to register.

  1. Reference Number: The new user will receive an email from Scotiabank that provides a reference number and instructions for the registration process.
  2. Authorization Code: The person who requested the new user must provide the requested new user an authorization code. Navigate to Administration, select User Information and then click on the requested user’s name to bring up the Requested User Detail window. The authorization code displays for 30 days, after which it expires.

Physical Token

  1. Receive a Physical token

    When Scotiabank receives the request for a new ScotiaConnect user, the Bank will issue a new token to your company’s Technical Contact, who will deliver the security token to the new user. This usually takes five to seven business days.

  2. Register for ScotiaConnect

The new user should have their security token before registering on ScotiaConnect. And, there are two additional pieces of information required to register.

  1. Reference Number: The new user will receive an email from Scotiabank that provides a reference number and instructions for the registration process.
  2. Authorization Code: The person who requested the new user must provide the requested new user an authorization code. Navigate to Administration, select User Information and then click on the requested user’s name to bring up the Requested User Detail window.
